Privacy Policy

Quddify Inc. (“Quddify”, “we”, “our”, “us”) provides an internal AI sales infrastructure platform that onboards reps, scores calls, and delivers mid-call guidance against your team’s own playbook. This Privacy Policy explains what we collect, how we use it, who we share it with, and the choices you have. It applies to our website, the Quddify platform, our integrations, and any related interactions with our team.
1. Information we collect
We collect information you give us directly, information generated by your use of the platform, and information from integrations you authorize.
- Account & contact data — name, business email, role, company, and credentials you submit when creating an account or booking a demo.
- Playbook content — sales decks, scripts, objection handling docs, product wikis, rubrics, and other materials you upload as the source of truth for the system.
- Call data — audio recordings, transcripts, participant metadata, and timestamps for the calls you import or capture through authorized integrations.
- Roleplay & training activity — practice conversations, assignment progress, rubric scores, manager feedback, and rep performance over time.
- Usage & device data — IP address, browser type, device identifiers, pages visited, and referring URLs collected automatically through standard logging and cookies.
- Communications — messages you send to support, feedback you submit, and notes from sales conversations.
2. How we use information
We process the information above to:
- Provision accounts and authenticate users.
- Train your team on your own playbook through AI roleplays and score real calls against your rubric.
- Generate AI insights, manager digests, and dashboards for your account.
- Operate, secure, monitor, and improve the platform.
- Respond to support requests, communicate product updates, and process payments.
- Comply with legal obligations and enforce our agreements.
3. Legal bases for processing
Where the GDPR or UK GDPR applies, we rely on the following legal bases: (a) performance of a contract with your organization; (b) our legitimate interests in operating and improving the platform; (c) compliance with legal obligations; and (d) consent, which you can withdraw at any time for processing that depends on it.
4. Calls, recordings, and transcripts
When you connect a calling tool (such as Zoom, Google Meet, or Close) or upload a recording, we access only the call data needed to score the conversation and deliver guidance: audio, transcripts, participant identifiers, and basic metadata. You are responsible for obtaining any consent from call participants that applicable law requires. We do not sell, rent, or share call content with third parties for marketing.
5. AI outputs and model training
Your playbooks, calls, roleplays, and team data are walled off from every other customer. We do not use your content to train general-purpose models or to improve outputs for any other organization. Models that personalize the system for your team are scoped to your account.
6. How we share information
We share information only as described below:
- Service providers — cloud hosting, transcription, analytics, and payment processors that act on our behalf under written contracts and confidentiality obligations.
- Integrations you authorize — calling and CRM platforms you connect to Quddify. Their handling of data is governed by their own terms.
- Within your organization — managers and admins on your account can see rep activity, call scores, and training progress for their team.
- Legal & safety — when required by law, in response to valid legal process, or to protect rights, property, and safety.
- Business transfers — in connection with a merger, acquisition, financing, or sale of assets, subject to confidentiality obligations.
7. Data retention
We keep account data for as long as your subscription is active and for up to 90 days after termination, after which it is deleted or anonymized. Call recordings and transcripts are retained according to the retention setting on your account; the default is the length of your contract plus 90 days. You can request earlier deletion at any time by contacting us.
8. Security
We encrypt data in transit using TLS 1.2 or higher and encrypt stored data using AES-256. We require multi-factor authentication for administrative access, run automated and manual security testing, and review our security program at least annually. See our Security page for details.
9. International transfers
Quddify is operated from the United States. If you access the platform from outside the U.S., your data may be transferred to and processed in the U.S. or other countries where our service providers operate. Where required, we put in place Standard Contractual Clauses or other lawful transfer mechanisms.
10. Your privacy rights
Depending on where you live, you may have rights to access, correct, delete, or port your personal data, to object to or restrict certain processing, and to withdraw consent. 11. U.S. state privacy rights
Residents of California, Virginia, Colorado, Connecticut, Utah, and other states with comprehensive privacy laws have additional rights, including the right to know what personal information we collect and to opt out of certain sharing. We do not sell personal information and do not engage in “sharing” for cross-context behavioral advertising as defined under the CCPA.
12. Children’s privacy
The platform is built for business use and not directed to children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us so we can delete it.
13. Changes to this policy
We may update this policy from time to time. When we make material changes, we will revise the effective date above and, where appropriate, notify you by email or through the platform. Continued use of the platform after changes take effect constitutes acceptance.
